TERMS AND CONDITIONS 1. GDS Commitment to You 1. YOUR INCLUSIVE PACKAGE FEE WILL ENSURE GDS PAYS AND CO-ORDINATES ACCOMODATIONS DURING THE SUMMIT TIME-FRAME, DOMESTIC RETURN FLIGHTS, MEALS AT THE VENUE, WELCOME DRINKS, 8-12 BUSINESS MEETINGS & SUMMIT ITINERARY PRIOR TO THE SUMMIT. FULL ACCESS TO WORKSHOPS AND ROUNDTABLE DISCUSSIONS. 2. At Summit, GDS will arrange a mutually agreed minimum number of meetings (as detailed above) and provide you with a planned schedule of appointments two weeks prior to the summit. Please note that meeting schedules may be altered where necessary. GDS work to develop the best possible itinerary for you based on your comments to us. GDS staff will work to ensure you have ample preparation for all discussion points and prompt notice of any last minute changes. 3. You may request appointments with companies and individuals, and GDS will do its best to ensure those meetings without guaranteeing them. We reserve the right to determine the theme, scope and content of workshops and speeches to be held during the summit and may alter the program and/or its content as deemed necessary. 4. Should the Event be cancelled for reasons or circumstances beyond its control, GDS must reschedule the summit within one calendar year and provide written notice to the delegate within 90 days of the rescheduled dates; otherwise there is no obligation for the delegate to attend the rescheduled dates. 2. VIP Delegate Commitment 1. YOU AGREE TO PARTICIPATE IN EIGHT TO TWELVE PRE-CONFIRMED 40 MINUTE EXECUTIVE MEETINGS. You agree also to participate at any of the workshops, lunch roundtables or other activities stipulated in the above terms. You agree to prepare to the best of your ability to discuss the issues put forward at the summit. 2. Only named pre-registered delegates may attend the event. You agree to supply 100-word professional & corporate catalogue bio entry, hi-resolution photo head shot (300 dpi), a high resolution company logo (ESP format) by copy date specified by GDS. 3. Delegates are responsible for their own insurance (including, but not limited to travel insurance, personal effects and personal insurance), vaccinations and visas (where applicable). 3. Substitution and Cancellation 1. GDS WILL ACCEPT CANCELLATION WITHOUT PENALTY WITHIN SEVEN DAYS OF THIS AGREEMENT. Beyond this point, every effort must be made to provide a replacement of equal or senior standing within your company. The job title and position of the delegate are part of the material terms of this agreement. Substitutions must be approved by GDS. 4. General 1. This contract shall be governed by the laws of the State of New York. The undersigned by signing this form hereby agrees and submits him/herself to the exclusive personal and subject matter jurisdiction of the Courts of the State of New York for any and all claims arising out of this contract and deems this contract executed in the State of New York. The undersigned hereby states that it will accept service of process by certified mail addressed to the undersigned at his/her place of business or by any manner permitted by New York law.
